Practical AI for Online Shops and Small Businesses

Owners of online shops and small businesses (UMKM) usually do a lot of the work themselves. Mornings go to product photos, afternoons to customer chats, late afternoons to checking stock and packing orders, and evenings to planning next week's promotion. AI can take on part of this work, as long as it is used for the right tasks and its output is still checked.

This article looks at practical ways to use AI in an online shop or small business, from writing product descriptions and replying to customers to managing stock and orders by chat and planning promotions. Every example can be tried with tools available today.

Writing product descriptions

Product descriptions are the easiest job to hand to AI. The key is the material you give it. If you only write "create a description for a batik shirt", you get something generic that reads like thousands of other listings.

Give it details only you know, such as the fabric, sizes, care instructions, who buys it and the questions customers often ask. For a batik shop in Pekalongan, that might look like this: "Stamped batik shirt, primisima cotton, sizes M to XXL, chest measurements in the size chart. Most buyers are office workers who wear it on Fridays. Customers often ask whether the colour fades. Write a description of about 80 words, relaxed and polite, with no exaggerated claims."

Check the result before you upload it. AI sometimes adds claims that are not true, such as "guaranteed colourfast" or "imported fabric". Claims like that lead to complaints and bad reviews. Save the prompts that work well, then reuse them for other products by changing only the details.

Replying to customers

Most chats that reach a shop ask the same things. Is it in stock, how much is shipping to a certain city, how can I pay, when will it ship. AI can help draft replies to questions like these much faster.

A safe way to start is to keep one note with your shop's key information, such as opening hours, the couriers you use, your return policy and your official bank account. Ask the AI to answer only from that note, and to write "needs checking by admin" when the information is missing. That way it does not invent policies you never made.

For complaints, refund requests or upset customers, it is better for you or your staff to reply. AI can help with the draft, but the decision and the final wording stay with a person.

Be careful with customer data too. Avoid pasting full addresses, phone numbers or transfer receipts into public AI services. This habit follows the principles of Indonesia's Personal Data Protection Law (UU PDP).

Managing stock and orders by chat

Shop admin often gets delayed because it means opening a dashboard, finding the right menu and filling in forms one by one. Some shop apps now include an AI assistant that takes instructions by chat, such as "add 20 units of 250 g arabica coffee to stock" or "show today's orders that have not shipped".

This helps owners who work mostly from their phone, for example while waiting at the courier office or buying supplies. To keep it safe, pay attention to the following:

  • Make sure the AI assistant works directly inside your shop system, so the stock and order data it reads is the real data.
  • Read the summary of changes before approving them, especially for prices and stock quantities.
  • Limit staff access by role. A cashier does not need to change prices.
  • Regularly match the stock report in the system against what is on the shelves.
  • Use one system for both the online store and the cashier, so stock is not counted twice.

Planning promotions

AI can be a useful sounding board when planning a promotion. Give it the basics, such as slow-moving products, best sellers, upcoming moments like payday, Ramadan or the new school year, and the discount limit your margin can handle. Ask it to suggest a few promotion options with the reasoning behind each.

Take a coffee shop in Malang that is quiet in the late afternoon. AI might suggest a coffee and snack bundle during certain hours, a coupon for the next visit, or points for regulars. You still do the margin maths and decide which one to run.

Once you have picked a promotion, AI can also help write the copy, such as an Instagram caption or a WhatsApp broadcast to past customers. Spell out the fixed details, like the promotion period, the terms and the products included, so it does not add promises you never made.

Once the promotion is running, record the results and compare sales before and during the promotion. These notes make the next plan more accurate, whether or not you use AI to draft it.

Limits of AI for online shops and small businesses

AI speeds up repetitive work. It does not know your customers as well as you do, and it can be wrong while sounding very sure. These habits help:

  1. Always check numbers, prices and product claims before publishing.
  2. Start with one task, such as product descriptions, and add more once you are comfortable.
  3. Do not hand decisions about money or complaints entirely to AI.
  4. Review the results every few weeks and adjust your prompts or shop notes as needed.

Trying AI in your shop

If you want to run your shop by chat, Etalasse combines an online store, a POS cashier and an AI assistant in one system. The assistant helps manage products, stock and orders, and there is a free plan to get started. You can find the details on the Etalasse page.
